Xinquan Kindergarten creates attendance cards for children’s entry and exit
Xinquan Kindergarten in Guangzhou uses the Primacy 2 card printer to produce its own attendance cards, thus enhancing children’s safety.
To secure the entry and exit of its children’s, the Xinquan Kindergarten in Guangzhou has invested in an Evolis solution: Primacy 2. After using paper attendance cards, which had to be filled in manually, the school decided to invest in an Evolis solution and produce its own cards. The school switched to PVC attendance cards, encoded and protected, for extended use and enhanced security.
Challenge: replace traditional time cards with a modern, secure system
Guangzhou Xinquan Kindergarten was founded in 2010. The school is a private institution offering courses for pre-school children. Courses include exploring China’s ancient civilizations, learning to read, dancing and mathematics. Particular attention is paid to the safety of the very young children who spend their days at the school.
Originally, children’s attendance cards were made of paper and laminated, showing only the pupil’s name, class and number. This system had several drawbacks:
- Teachers had to check information carefully with parents to avoid mistakes,
- The cards were not very durable, and usually folded or damaged before the end of the semester,
- The cards were frequently lost, so a solution had to be found to replace them quickly.
Solution: personalized PVC cards with the Evolis Primacy 2 printer
The Xinquan Kindergarten has modernized its system by adopting smart cards. It has also installed an access gate at the entrance and implemented an intelligent access management system. Staff and students now use contactless smart cards and badges to enter and leave the school. This solution was designed by Evolis and its partner Guangdong Xinjiehao Technology Co, Ltd , which uses the Evolis Primacy 2 printer to personalize and print student attendance cards.
Attendance cards enable the kindergarten to keep track of children and identify parents who drop them off and pick them up. Each child has their own card, which they scan each morning upon entering the school, recording their arrival and transmitting this information to the school. Similarly, at the end of the day, the child scans their card when leaving, enabling the school to validate their departure. This system ensures accurate attendance management and provides parents with a daily record of their child’s arrival and departure times.
The children’s attendance card is produced from a blank IC card, with double-sided color printing. It includes:
- On the front: a photo of Xinquan Kindergarten,
- On the back: instructions for using the card, children’s names, class, personal photo and chip. The chip mainly records information on each pupil and his/her parents, as well as school entry and exit times.
When children swipe their cards at the entrance, all the above information will be read and recorded. At the same time, the camera installed at the gate will take instant swipe photos, and all information will be synchronized to the system.
Result: enhanced safety and simplified management
The kindergarten admission office is responsible for designing and uniformly printing all cards at the start of a new semester. If a card is lost or needs to be reissued, this can be done at any time. Even when a child is picked up or dropped off by different family members, cards can be printed and issued to everyone, eliminating the need for the teacher to confirm information by calling the parents.
The new child entry attendance card solution makes it easier to manage the reception and care of children. This considerably improves child safety, as well as the speed and efficiency of check-in and reception. The system also enables the school to be easily informed of the presence of the various members of the school, considerably increasing the efficiency of the kindergarten. To date, Xinquan Kindergarten has issued 2,500 attendance cards, or around 1,000 cards per half-year.
The next step for the kindergarten is to use Primacy 2 to issue cards for teachers’ work permits, and for access control of other people responsible for delivering materials, including visitors.
